Position Overview: Ledgent Finance & Accounting's client is currently seeking an organized and detail-oriented Admin Accounting Assistant to join their team in Georgia. This role is pivotal in supporting both the accounting and administrative functions of the business, ensuring smooth operations and accurate financial records.
Key Responsibilities: Accounting & Financial Support
- Enter financial transactions into accounting software, including purchase orders and receipts.
- Process employee credit card transactions by verifying receipts and resolving coding discrepancies.
- Handle accounts payable and receivable by processing vendor invoices, customer payments, and reconciling accounts.
- Perform bank reconciliations by matching statements with company records and identifying discrepancies.
- Maintain general ledger accuracy by posting transactions and verifying entries.
- Generate and distribute property management and financial reports for investors, lenders, and regulatory agencies.
- Communicate with customers and vendors regarding invoices, payments, and account inquiries.
- Assist with capital bid and contract management processes (cross-training provided), including verifying documentation, preparing contracts, obtaining approvals, and processing payments to vendors.
Administrative Support
- Provide general administrative assistance to ensure effective office operations.
- Maintain organized physical and digital filing systems for documents such as invoices, receipts, and contracts.
- Answer phone calls, manage scheduling, and coordinate appointments for the property management department.
- Manage office supplies and coordinate with vendors for maintenance and equipment needs.
- Draft, edit, and proofread letters, reports, and other business documents.
- Prepare meeting agendas, take minutes, and coordinate logistics including room setup and catering.
- Handle sensitive information with discretion, maintaining confidentiality and compliance with privacy policies.
- Support other team members and departments as needed, adapting to changing priorities and deadlines.
Competencies & Qualifications: - Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and accounting software.
- Strong data entry skills with attention to detail and accuracy.
- Basic understanding of accounting principles, including accounts payable/receivable and bank reconciliations.
- Excellent organizational and multitasking abilities.
- Effective written and verbal communication skills.
- Professional demeanor with strong interpersonal skills and the ability to handle customer/vendor interactions diplomatically.
- Ability to maintain confidentiality and exercise discretion with sensitive information.
- Self-motivated with a proactive approach to problem-solving and process improvement.
- Ability to work independently as well as collaboratively in a team environment.
- Prior experience in property management or related industries is a plus but not required.
Work Hours: Monday - Friday, 1st Shift
Benefits: The position offers a competitive pay range with a minimum of $24 and a maximum of $26 per hour, along with other company-specific benefits.
